How we use your information

We use your information to respond to inquiries, schedule appointments, provide and coordinate care, maintain records, verify insurance, process payments, improve our website, and comply with our legal obligations.

Protected health information (HIPAA)

Health information you share as a patient is Protected Health Information (PHI) and is handled in accordance with the Health Insurance Portability and Accountability Act (HIPAA) for treatment, payment, and healthcare operations. Our separate Notice of Privacy Practices governs PHI and is available at either clinic on request.

How we share information

We may share information with healthcare providers involved in your care, insurers, payment processors, technology vendors who support our operations, the analytics and advertising providers described under “Cookies, analytics & advertising” below, and legal authorities when required by law. We require our vendors to protect your information.

Cookies, analytics & advertising

Our website uses cookies and similar technologies to understand how visitors use the site, to improve it, and to measure our advertising. You can control or disable cookies through your browser settings.

To understand how the site is used we run Google Analytics 4, a measurement service provided by Google LLC. It tells us how many people visit, which pages they read, how they arrived, and roughly where in the world they are, so we can see what is useful and fix what is not.

Google Analytics sets cookies and records information about your browser and device, the pages you view, and a small number of actions: opening our booking form, clicking one of our phone numbers, and submitting a request on one of our advertising landing pages. We record that the action happened and, for a request, which kind of form it came from. We do not send Google your name, contact details, medical history, or anything you type into a booking or contact form. Your IP address is used to estimate your general location; Google states that Google Analytics does not retain it.

As with the pixel below, the address of the page you are viewing is part of what is recorded, so reading a page about a particular treatment or condition means that page address is sent. We do not use analytics data to build advertising audiences based on a health condition. Information Google Analytics collects is held by Google under its own policies: see the Google Privacy Policy and how Google uses information from sites that use its services. You can switch it off for every site you visit with Google’s Analytics Opt-out Browser Add-on.

We advertise on Facebook and Instagram, and our site includes the Meta Pixel, a measurement tool provided by Meta Platforms, Inc. It tells us how many people reached our site from an ad and which pages they viewed, and it lets us show ads to people who have visited before. It records the same short list of actions as Google Analytics above: opening our booking form, clicking a phone number, and submitting a landing-page request.

When the pixel runs it sends Meta your IP address, information about your browser and device, cookie identifiers, and the address of the page you are viewing. Because the page address is included, visiting a page about a particular treatment or condition means that page address is sent. We do not send Meta your name, contact details, medical history, or anything you type into a booking or contact form, and we do not use the pixel to build advertising audiences based on a health condition.

Information the pixel collects is held by Meta and governed by its own policies. You can read the Meta Privacy Policy and change what Meta shows you through your Meta ad preferences.

To limit this tracking you can block or delete cookies in your browser, browse in a private window, opt out through the Digital Advertising Alliance or the Network Advertising Initiative, or enable a Global Privacy Control signal in a browser that supports one. Blocking these tools has no effect on your ability to book an appointment or receive care.

Data retention & security

We keep records for as long as needed to provide care and to meet legal and regulatory requirements, then dispose of them securely. We use administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your rights

You may request access to your records, ask us to correct inaccurate information, and request limits on certain disclosures, subject to applicable law. To exercise these rights, contact us using the details below.

Children’s privacy

Our website is not directed to children under 13, and we do not knowingly collect their information online. We do provide care to minors with the involvement of a parent or guardian.
